Room Change Procedures

How do I request a Room Change?

  • Fall Semester; Room Change Requests will be accepted and processed from the first day of classes up to the first (10) days after the first day of classes during Fall Semester. After the first ten (10) days of classes there will be a housing freeze in effect for the remainder of the semester.
  • During Autumn Term and Winter Term room change requests will not be processed and room changes will not be permitted.
  • Spring Semester; Room Change Requests will be accepted and processed from the first day of classes up to the first (10) days after the first day of classes during Fall Semester. After the first ten (10) days of classes there will be a housing freeze in effect for the remainder of the semester.
  • In order to process a room change each student must fill out a room change request form located outside of the Housing Office in Student Affairs during the designated room change periods.
  • Room changes are processed and approved based on a space availability basis.  Requests cannot be guaranteed for availability or approval.
  • Students are only eligible for one (1) room change request per semester.
  • If the room change request has been approved*, the Housing Office will notify the student of such by email and the student must follow the steps outlined below;
    1. The student must stop by the Housing Office within 2 business days of receiving the initial approval email. After that the approval will be withdrawn and the room change cancelled.
    2. Once approved, the student will receive their Room Change Request Form and their Room Key Card.  
    3. The student will have 48 hours to complete the room change which includes, moving into their new room assignment, completing the Room Change Request Form with both RA signatures, and the returning of their completed Room Change Request Form and previous room key to the Housing Office.   If the move is not completed within the allotted time, the move will be canceled and the student must remain in the original room.

*Room Changes are not allowed before receiving final approval from the Housing Office. Doing so may result in additional charges, fines and/or conduct action and may affect future room change requests to be denied.

What do I do if I want to switch rooms with another student?

  • Only requests for even room switches with a 2 room maximum will be accepted.
  • In order to process a room change each student must fill out a room change request form located outside of the Housing Office in Student Affairs during the designated room change periods.
  • Each student involved in the room switch, that would be moving rooms, must also submit the request to the Housing Office. 
  • Each roommate, not moving, will need to submit an email to housing@eckerd.edu notifying the Housing Office that this switch has been discussed and agreed upon all roommates involved.
  • If the room change request has been approved*, the Housing Office will notify the student of such by email and the student must follow steps 1 through 3 outlined in “How do I request a Room Change?”

What do I do if I do not get along with my roommate during the housing freeze?

  • You must first meet with your RA who will mediate for conflict resolution. A roommate contract between you and your roommate will be drawn up if necessary.
  • If the mediation is not successful or if the roommate contract is violated by either party, you and your roommate will meet with the Assistant Director for Residence Life, Jamey Handorff, who will then take over further mediation before considering a room change request with the Housing Office.
  • If it is determined that the conflict cannot be resolved, both roommates will be relocated to a different room with a roommate. Both roommates must contact the Housing Office for room availability within 2 business days and follow the steps outlined below.
    1. If the student has not chosen a new room assignment yet, the Housing Office will advise him/her of availability and he/she will choose a room to move to on that same day.
    2. The student will receive a Room Change Form and must complete and return this form to Housing within 48 hrs of receiving such.
    3. After completing the room change form and receiving final approval* from the Housing Office, the student will receive a room key card to pick up the new room key at the Office of Campus Safety. The original room key must be returned within 48 hours.
    4. The student will have 48 hours to complete the room change and move into the new room. If the move is not completed within the allotted time, the move will be canceled and the student will return to the original room.

What do I do if my roommate has left?

  • As per the Housing Agreement Section 7A the Housing office maintains the right to condense rooms “During the beginning of each term a determination of the location of unoccupied spaces will be made. In an effort to maximize space, the College reserves the right to move students together even though the situation may be no one's fault and inconvenience may be experienced. Residents with unoccupied spaces in their rooms for which they are not paying may not refuse a roommate. If a student is uncooperative, he or she will be responsible for supplemental charges, may receive fines, and may face disciplinary action. Students are responsible for notifying the parent and/or guardian of any housing charges”.
  • The Housing Office will send out a notice to those students who do not have a roommate after each room change period has ended in regards to their room assignment and to choose a new roommate from a list provided.
  • If a student does not respond to this notice or refuses to obtain a new roommate by either having someone move in with them or to move to another room, he/she will be responsible for the additional cost of maintaining the room as a double single room for the semester.
